Secretary Senior
Dept of Juvenile Justice - Suffolk, VA
This position supports the mission of the Department of Juvenile Justice by managing the Fifth District Court Service Unit's financial, equipment and expendable resources. The position processes invoices to ensure delivery of services and positive working relationships with providers; provides information system support and staff assistance to ensure accurate and available data; manages and maintains administrative human resources and case records to ensure proper recording, accurate transactions, delivery of benefits, as well as retrieving of needed information. Manages and oversees the annual expunging of records, pursuant to appropriate law and procedure. Provides direct supervision of an Office Services Assistant (OSA) in the Suffolk office, completing all personnel related forms and evaluations. Provides support services and guidance to the OSA's in the unit's two branch offices. Works directly with the unit director in preparing local and state budgets.
Minimum Qualifications
Knowledge of office practices and procedures, including Business English, to ensure proper spelling, punctuation and grammar. Strong computer skills and knowledge of computer software applications, with an emphasis on Microsoft Word, Excel and Outlook. Position calls for flexibility and the ability to work well with management, staff, juvenile justice professionals, and the general public. Experience in handling sensitive, complex and confidential information is important as is budget/accounting/bookkeeping experience.
Preferred Qualifications
Preferred qualifications include a high school diplomas or equivalent with prior experience in the clerical field, to include the aforementioned budget/accounting/bookkeeping experience. Familiarity with the Commonwealth of Virginia's prompt pay laws and experience providing supervision to one or more employees.
