Office Automation Specialist
Office Automation Specialist
BMT Designers & Planners is seeking an experienced Office Automation Specialist to support US Coast Guard. Responsibilities include:
• Maintaining the SFLC DSpec specification package compiler templates
• Training Product Line personnel on how to use the DSpec compiler
• Providing office automation advice, guidance, and assistance to staff
• Evaluating office automation needs of work areas and recommend off-the-shelf solutions or participate in documenting the requirements for developing a specialized application. Adapting available office automation methods to specific requirements and developing guidelines for use by others that streamlines processing procedures, documents uses of a variety of software applications, and/or provide instructions on availability and use of macros
• Define required data elements, desired format, and any arithmetic manipulation needed for the specified output
• Ensure the completed documentation is prepared, updated, and distributed
Work Location: Norfolk, VA
Travel: Infrequent as required
Candidates must be US Citizen with a clearance or ability to obtain a clearance. Background Investigation is required
Experience:
• Minimum 5 years’ comprehensive experience using MS Office Suite to create and manage documents, spreadsheets and presentations with emphasis on MS Power Point and MS Project is required. Ability to write Macros in Visual Basic required.
• Experience with Adobe End Design highly desirable.
• Minimum 5 years’ experience establishing positive and effective working relationships, develop data sharing and collaborative environments, champion complex and cross-organizational initiatives and develop cooperative relationships with project managers, technical staff and other internal and external stake-holders is required
• Minimum 3 years’ experience with training personnel on the use of Visual Basic based office automation tools
• Self starter with experience anticipating needs and willingness and ability to resolve problems in a fast pace work environment. US government DOD or DHS experience desirable
• Office management experience helpful
Education & Skills:
• Bachlors degree and 3 years of adminstrative or office automation experience or High School Diploma and 5 years administrative or office automation experience required
• Positive, confident, self-starter who will reach out, communicate, ask questions and quickly adapt and fully integrate with multidisciplinary team is required
• Advance MS Office Suite experience developing and managing email, complex technical documents, reports and presentations with tables, graphics and spreadsheets is required. MSPowerPoint and MS Project are a must
• Visual Basic macro knowledge and experience required
• MS SharePoint experience
• Strong analytical, listening, technical writing and communication skills required
• Organization, time management, completing detail-oriented tasks with accuracy and on time is required
• Demonstrated technical writing and presentation skills to deliver the highest quality products that exceed client expectations is required
• Ability to work independently and with multidisciplinary team is required
