Office Services Assistant - Portsmouth

Office Services Assistant
Dept of Juvenile Justice - Portsmouth, VA
Incumbent will provide clerical support for several probation officers and supervisors. Duties include typing case narratives and social history reports, correspondence, orders, forms, etc. from handwritten notes or Dictaphone; correct, edit and prepare final draft for submission to the CSU staff and court; gathering and reviewing information for case files for completeness and accuracy. Additional duties include data entry into the state and local case management system. Incumbent would perform receptionist duties, handling a high volume of calls, greeting and referring clients at the front window, as well as assisting walk-in clients; providing and receiving appropriate intake forms, and other court information, also preparing and maintaining filing systems.

Minimum Qualifications
Considerable knowledge of office practice, procedures and office equipment; manual and automated filing systems; and Business English to ensure proper spelling, punctuation and grammar usage is needed along with experience using word processing, spreadsheets, and presentation software. Considerable experience preparing correspondence/reports and working with confidential information is also needed. Additional qualifications include the demonstrated ability to interact in a professional manner with the public; meet strict deadlines and communicate effectively, both orally and in writing. Excellent organizational skills are also desired. Ability to learn and adapt to new practices and procedures. Considerable experience with court dockets and court forms.

Preferred Qualifications
A high school diploma or equivalent, related experience in an administrative support position and considerable experience using Microsoft Office software to include Word, Excel, Access and PowerPoint.
